Task Generation automates the checklist work that happens every time a deal moves through your pipeline. Instead of relying on individuals to remember what needs to happen at each stage, you encode that process once and it runs automatically on every deal going forward.
How It Works
Admins configure task templates for each pipeline stage. When a project moves to that stage, the tasks for that stage are automatically created, attached to the project record, and ready to assign. The templates carry your team's non-negotiable steps — documents that must be attached, reviews that must be completed — so nothing critical gets skipped during the chaos of closing.
Setting Up Task Templates
Go to your pipeline settings and open Manage Task Automation. For each stage, you can create one or more task templates. Each template lets you set:
Task name — what needs to be done
Requirement level — Blocking (project can't advance until complete), Required, or Optional
Due date rule — how many days after stage entry the task should be due
Assignee — who the task auto-assigns to
File attachment required — whether a document must be attached before the task can be marked complete
Tag filter — if you only want the task to generate for projects with a specific tag, set it here. Useful when different deal types share a pipeline but need different checklists.
What Happens When a Project Moves Stages
When a team member moves a project to a stage with task templates, a transition dialog appears showing exactly which tasks will be created. They can review assignees, adjust optional tasks, and confirm before the move happens. Blocking tasks are clearly marked — if any are still open when someone tries to advance the project to the next stage, the platform will stop them and show what needs to be completed first.
Moving a Project Backward
If a project moves back to an earlier stage, the platform shows a warning listing which auto-generated tasks will be deleted. Tasks you created manually are kept.
