The Full Workflow — From Market Entry to Landowner Contact

A step-by-step walkthrough of how to work a land opportunity from first search to outreach using every tool in Prophetic.

This is the full Prophetic workflow — start to finish, the way the platform was designed to be used. Every step builds on the last. By the end you have a qualified site, a yield study, a competitive picture, a complete due diligence package, and a letter in the mail.

Step 1 — Define your market with SearchAI

Open SearchAI and draw a polygon around your target geography, or enter a city or county. Select your development type — Subdivision, Single-Family Detached, Multifamily, or whichever fits your use case. Set your filters: acreage range, bare lots only, wetlands and flood zone exclusions, owner type, out-of-state owner flag. Run the search.

You now have a filtered list of every parcel in that geography that matches your criteria — not the ones a broker decided to show you, every qualifying parcel.

Step 2 — Save your search

Before you do anything else, save the search. This bookmarks your criteria so you can re-run it on any future visit and immediately see what's new in the market since last time.

Step 3 — Identify your best opportunities

Browse your results on the map or in list view. Click into any parcel that catches your eye — acreage, location, ownership type, whatever your initial screen is. You're looking for a handful of parcels worth a deeper look.

Step 4 — Save to a project

The moment a parcel clears your initial screen, save it to a project before doing anything else. Give the project a name, assign it to your pipeline stage, and move on. This is the habit that turns a search session into a permanent pipeline — everything you do next attaches to this project automatically.

Step 5 — Check zoning with ZoneAI

Click the parcel and open ZoneAI. In seconds you'll see permitted uses, density allowances, minimum lot size, setbacks, height limits, and parking requirements for that specific jurisdiction. You're answering the first underwriting question — can we build what we build here? — without a single phone call to a planner.

If the zoning works, move forward. If it doesn't, move on to the next parcel. No time wasted.

Step 6 — Run a yield study with SiteAI

Select the parcel and launch SiteAI. Configure your development type, home model dimensions, minimum lot size, and road entry points. ZoneAI data auto-populates the zoning fields. Add any adjacent parcels if you're looking at an assemblage.

SiteAI returns a full site plan with total lots, density, road area, and net developable acreage. You now know exactly what this site can yield before you've spent a dollar on civil engineering.

Step 7 — Run Full Analysis

Open Full Analysis on the parcel. Work through the key screens:

  • Ownership — who owns it, where they live, when they bought it, what they paid

  • FEMA Flood & Wetlands — confirm your environmental exposure

  • Soil — any agricultural preservation or soil constraints worth flagging

  • Environmental — brownfield, Superfund, state contamination databases

  • Building Permits — any existing permit activity on the site

  • Demographics — household income, population trends, trade area data

  • DevMap snapshot — what's being built in the immediate area

If anything in Full Analysis changes your view of the site, update your project stage accordingly. If everything clears, you have a complete picture of the parcel and you've barely left your desk.

Step 8 — Export a PDF

Export the Full Analysis to PDF if desired. Clean, professional, includes the parcel map, zoning, environmental data, and demographics. Use it for internal deal presentations or to share context with a broker, partner, or landowner.

Step 9 — Check DevMap for competitive context

Toggle on the DevMap layer and zoom out to see what's happening in the surrounding market. Who's building nearby? What stage are they in? What's their absorption rate? Is this submarket getting crowded or is there still runway?

This is the context that turns "we like this site" into "here's why this site wins in this market" — the kind of answer that holds up in a leadership conversation.

Step 10 — Send a letter to the owner

You've got the parcel underwritten, the yield estimated, the due diligence checked, and the competitive picture understood. Now contact the owner.

Click Send Letter on the parcel panel. Choose your card style and handwriting style, write or select a template, and confirm. A physical handwritten letter goes out to the owner's address on file — automatically logged back to your project.

The owner gets a thoughtful, personal piece of mail that signals you know their specific property. That's a different category of outreach than a cold call or a generic email blast.

Step 11 — Track everything in your pipeline

Every action you've taken — the SiteAI plan, the Full Analysis PDF, the letter sent — is attached to the project in your pipeline. Your team can see where this deal stands, what work has been done, and what's next. When you move the project to the next stage, task automation fires and generates the checklist for that stage automatically.

Nothing lives in someone's head. Nothing gets lost when someone is out. The deal has a home.
